The Opportunity

The New America School – LC seeks a professional, innovative, and detailed individual for our night time receptionist . The ideal candidate for this position will be able to work part-time  from now until May 24, 2018.  If you are looking for an opportunity to work with the community in a school setting, then this position is for you!

JOB GOAL: To assure the smooth and efficient operation of the school’s office and attendance records so that the school’s maximum positive impact on the education of children can be realized.


High school diploma, bilingual(Spanish/English)



Professional Demeanor/Environment:

  • Act as a point of contact for all school enquiries either by telephone, email or face to face, and contribute to the smooth running of the school reception.
  • Ensure that the reception area is kept tidy, informative and welcoming to visitors at all times.
  • Be aware of and comply with policies and procedures relating to child protection, health and safety, security, confidentiality and data protection. Report all concerns to the appropriate person.
  • Cooperate willingly in following school policies.
  • Work as member of a team.
  • Be courteous and able to effectively manage people.
  • Be cooperative, congenial, and service-oriented; and promote these qualities in the department.

  • Take lunches as assigned and in an appropriate location, ensuring that office is covered at all times.
  • Prepare work area at end of day for beginning work the next day.


Communication/Customer Service

  • Greet and welcome all persons entering the office, arrange for their comfort, and screen unexpected callers in accordance with predetermined procedures.
  • Issue visitor passes where necessary.
  • Maintain log of all visitors to the building.
  • Contact relevant employees and direct visitors effectively.
  • Answer all incoming calls using professional and helpful etiquette.
  • Take and deliver all messages for the administrators maintaining confidentiality.
  • Operates main telephone console by receiving and routing incoming calls to the appropriate individuals.
  • Contact all parents of absent students on the date of absence.
  • Act as a concerned and professional liaison between parent and district for student attendance, tardies, and discipline by keeping parents alert to potential problems.
  • Create name tags for teacher boxes at the beginning of the year.
  • Inform assistant principal of any necessary discipline with excessive tardies.
  • Perform clerical duties for administration upon request.
  • Assist with the preparation and distribution of materials, including mail.
  • Coordinate mailings.

Recordkeeping/Database Management

  • Maintain New Student Folders with all documentation and forms to facilitate student check-in procedures.
  • Make sure all paperwork is filled out for new students at reception desk before passing file to assistant principal or registrar.  Collect all signatures and documentation for permanent folder from parents during initial check-in.
  • Provide new student/parent with Student Handbook and Special Programs information.
  • Maintain the tardies log.
  • Mail out parental notifications & newsletters.
  • Input information, such as attendance and discipline, into school systems as required.
  • Photocopy documents and materials as directed.
  • Record and sign visitors and pupils in and out of the school.
  • Participate in training, other learning activities and performance development as required.
  • During emergencies (drill or otherwise), take responsibility for student registration cards.
